Job description

The Supervisor Freight Forwarding Import is responsible for the daily operational execution of activities handled by the (ass. Or sr.) Freight Forwarders and in his team and participates in the operational execution of services himself when/where necessary. Furthermore the Supervisor acts as a Back-up for the Import Manager when he is absent.

4. Key Activities / Accountabilities;

I. Operations
Result; Providing services to customers in accordance with SLA, SOP or other contractual obligations.

• Participates in the execution of operational activities, from file set-up and booking of shipping lines to checking supplier and/ or customer invoice
• Ensure independent execution of freight forwarding activities
• Set objectives and priorities using knowledge and ability to make profitable business decisions
• Book shipments and distribute information into files and calculate charges
• Negotiate and discuss buying rates on shipment level
• Enter all charges & profit shares
• Close file, print airway bills (AWB), pass invoices & credit memos
• Post information in the various IT systems (such as Next Gen, G360, Fiton, etc.): timely & correct
• Gives advice to the customer regarding possibilities of all types of shipments / shipments based on customer information
• Act as a back-up for direct manager and colleagues in case of illness, holidays or peaks in work load

II. Customer Service
Result; strengthen internal network with other sites. Actively working on a good relationship with external customers and suppliers.

• Follows through on customer inquiries, requests and complaints
• Develop and maintain relationships with (high potential) accounts, overseas agents, sister offices and Shipping lines
• Safeguards the integrity of GEODIS's customers and fellow team members
• Answer customer questions yourself (around 99%) or by addressing the right persons
• Proactively seeks ways to exceed customers' expectations
• Understand the customer business environment and consistently treat customers and colleagues with courtesy and respect
• Fosters productive relationships with both internal and external customers

III. Reporting
Result; ensuring optimal operational progress and performance aligned with KPI's, SLA, SOP or any other contractual agreements with the customer.

• Responsible for timely month closing: checking received invoices and billing as per company policy (import shipments)
• Willing to modify decisions as changing circumstances or data dictate, based on the results on customer reporting
• Assure timely billing as per company policy
• Check intercompany invoices and administrate them in our system: if not correct make disputes
• Timely administer and react to disputes / supplier invoices

Applicant's profile

Technical skills
• Higher vocational education (HBO) in the area if logistics, or proven ability
• 4 – 6 years' experience in an operational freight forwarding position
• 1 – 2 years of management experience
• Understanding of financials and the impact on business
• Acquainted with MS Office applications and IT systems/processes used in the freight forwarding industry
• Excellent verbal and writing skills in local and English language
• Certificate of Good Conduct (VOG) prior to the start of the employment which needs to be renewed every two years
